Optimising human resource management processes

altHuman resource management plays a key role in every company organisation. Effective tools must be provided to collect and share information to help optimise and streamline processes.

Thanks to new communication and systems integration technologies and the widespread use of both mobile and landline telephones in our country, innovative services can be created that can be applied easily and immediately in every context and situation.

I-Tel’s Sm@rtC6 system sees the telephone as the perfect tool for transmitting and sharing information. Communication is quick and effective, it removes the need for paper documents, speeds up the time taken to approve requests, if necessary, and significantly reduces management and infrastructure costs.

Absence notification
With the Sm@rtC6 absences module, employees can inform that they will be absent by calling the system, entering their ID code, selecting the activity to report (illness, time off, off-site work, etc.). If necessary, employees can leave a voice message that will be sent by e-mail to their direct supervisor and/or the personnel office.
The system memorises the collected details (day, time, ID code, reason for absence, voice file), sends notification by e-mail to the personnel office and the direct supervisor so shifts and activities can be reorganised, and, if requested, automatically updates the company information systems (optional function).
Shift notification
Using the Sm@rtC6 shifts module, shifts can be communicated by telephone.

Employees call the system, enter their ID code and listen to a voice synthesis message that gives them the information relating to their shift or other information present in the company information systems or other specific applications.

The system can ask callers to enter their ID code again to accept.
The operating details (calls received per day/hour, shifts accepted) are forwarded by e-mail to the service coordinator.

Holiday and time off management
With the Sm@rtC6 holiday and time offmodule, employees can automatically ask for days or time off by telephone.
After entering their ID code, employees can select the activity to report (request for holidays, time off) and indicate the duration and start date of the holiday/time off (dd/mm/yyyy). If available, employees can request information relating to leftover holidays and time off.

The collected details (day, time, ID code, type of request, duration and start date) are sent by e-mail to the caller’s direct supervisor for approval and/or to the personnel office and, if requested, are put into the right format to automatically update the company information systems.
 
 
 
Recording presence

With the Sm@rtC6 presences module the employees’ clocking in/out times and lunch breaks can be recorded using any telephone at the company as a clocking-in terminal.
Employees call the system, enter their ID code and select the activity they want to record (clocking in, lunch break, clocking out).

The system locates the employee by recognising the caller number and checks it on a list of ‘authorised’ numbers. The system automatically records the date and time.

The collected details (day, time, caller number, ID code, activity) are memorised in the system database and are then transferred to the company management using an interchange file.


In addition, by interfacing directly with the company management or creating portals that are accessible via Internet or Intranet and also by using e-mail and text message communication channels, the system can also provide the following features:
  • On-call management
  • Injury communication management
  • Automatic messages and call-up notification
  • Time and work activity management with goods in and out
  • Service status check and emergency management
