Absence notification
With I-Tel’s absence notification collection service, employees can inform of their absence by calling the system, entering their ID code, selecting the activity to report (illness, time off, out of office, etc.). If necessary, employees can leave a voice message that will be sent by e-mail to their director supervisor and/or the personnel office. The system memorises the collected details (day, time, ID code, reason for absence, voice file), sends notification by e-mail to the personnel office and the direct supervisor to reorganise shifts and activities, and, if requested, automatically updates the company information systems.
The service can also generate and automatically send a home check-up request to the local health authority or National Institute of Social Insurance office.
Shift notification
The I-Tel shift notification service enables the activation of a telephone portal to automatically inform the client company’s employees of their shifts. The employee calls the system, enters their ID code and listens to a voice synthesis message that gives them the information relating to their shift or other information present in the company information systems. The system can ask the caller to enter their ID code again to accept the shift.
The collected details (calls received per day/hour, shifts accepted) are forwarded by e-mail to the customer.
Holiday and time off management
With I-Tel’s holiday and time off request management service, employees can automatically ask for days or time off by telephone.
After entering their ID code, employees can select the activity to report (request for holidays, time off) and indicate the duration and start date of the holiday/time off (dd/mm/yyyy). If available, employees can request information relating to leftover holidays and time off.
The collected details (day, time, ID code, type of request, duration and start date) are sent by e-mail to the caller’s direct supervisor for approval and/or to the personnel office and, if requested, are put into the right format to automatically update the company information systems.
Finding out presences
The service enables the employees’ clocking in/out times and lunch breaks to be recorded using any telephone at the company or at the locations where the employees work as a clocking-in terminal.
In order to clock in, employees call the service on a telephone number arranged by the company, enter their ID code, select the activity to report (clocking in, lunch break, clocking out), and, if necessary, a ‘clocking-in code’.
The employee is located by recognising the caller number and checking it on a list of ‘authorised’ numbers.
The collected details (day, time, ID code, activity, clocking-in code) are put into the right format to automatically update the company information systems.
The information needed for the service to work can be acquired automatically from the I-Tel platform using interchange tables extracted from the customer’s management system or through direct integration with the same management system.
